INVITATION TO RENT PROPERTY FOR OPERATIONS OF: CATERING, SHOPS AND CONVENIENCE SHOP AT THE UNIVERSITY OF MALAWI IN ZOMBA
Business opportunities have arisen at the University of Malawi campus in Zomba to operate any of the below-listed facilities:

Cafeteria A
-
Cafeteria B
-
Sports Complex Bar
-
Sports Complex Tuckshop
-
Post Graduate Hall of Residence Tuck shop
-
Convenience Shop in Business and ICT Centre
Interested operators shall state only ONE preferred entity of the above-mentioned premises.
Below are the Terms of Reference (TORs) for the operations of the facilities at the University of Malawi in the 2024/25 academic year:

GENERAL TERMS OF REFERENCE APPLICABLE TO ALL FACILITIES:
The Operator shall:

Be required to pay monthly agreed upon rentals for use of premises, i.e. the stall allocated.

Provide necessary equipment for the successful delivery of services.
-
Be required to report on performance on quarterly basis or of any incident to the Registrar in writing for purposes of enhancing the operations.

Accept planned as well as ad-hoc quality audits and inspections by the University of Malawi Management.

Provide copies of original documents defining the legal status of the service provider business registration certificate, company profile, Malawi Revenue Authority Tax clearance certificate covering 2024 Financial Year on application.

Put in place electronic means of payment for goods and services such as (Point of Sale and Merchant Wallets for Mobile Money) in addition to cash.

Maintain hygienic conditions in the cafeteria for business premises and personnel.

Receive payments directly from clients.

Provide identity cards to staff that should be worn while on duty at all times.

Meet all rental costs in time.

Open for operations from 6.30 a.m. till 10 p.m.

Be responsible for providing alternative sources of energy in cases of electrical power blackouts but shall not be allowed to use charcoal or firewood.

Demonstrate compliance in line with all relevant government regulating authorities for the concerned business on application and during operations.

TERMS OF REFERENCE FOR EACH CAFETERIA (A and B)

The Service shall be provided at Cafeterias A and B.

The provider shall be expected to serve breakfast, lunch, supper and any other intermediate meals.

The provider shall prepare and cook meals in the allocated kitchen space, serve quality, hot, nutritious and a variety of food to University members and guests.

Duration of contract will range from 12 to 24 months dependent on proposed and agreed upon enhancement to the facility by the operator. The University of Malawi or the Service Provider would terminate the contract before such a time for other reasons, one month’s written notice shall be given to either party.

TERMS OF REFERENCE FOR THE UNIVERSITY OF MALAWI TUCKSHOPS AND CONVENIENCE SHOP

The Service shall be provided at the designated facility.

The provider shall be expected to serve groceries and any other intermediate snacks.
-
The supplier shall be required to pay monthly rentals for the use of premises, i.e. the stall allocated.
-
The supplier shall provide the necessary equipment for the successful delivery of services.
-
The service shall sell groceries in the allocated space and not engage in any cooking.

Duration of contract will range from 12 to 24 months depending on proposed and agreed upon enhancement to the facility by the operator. The University of Malawi or the Service Provider would terminate the contract before such a time for other reasons; one month’s written notice shall be given to either party.

TERMS OF REFERENCE FOR THE UNIVERSITY OF MALAWI SPORTS COMPLEX

The Service Provider shall be provided at the University of Malawi Sports Complex bar.

The Service Provider shall be expected to serve drinks and any other intermediate snacks.

The Service Provider shall provide the necessary equipment for the successful delivery of services to customers.

The Service Provider shall be responsible for providing alternative sources of energy in cases of electrical power blackouts but shall not be allowed to use charcoal or firewood.
METHOD OF APPLICATION
Prospective applicants should indicate their preference of facility/service, outline how they will enhance the service befitting University Community, and expected range of rentals, all in no more than five (5) pages (excluding copies of business and tax documents), submit their printed proposal or signed pdf documents no later than 6th September 2024 to:
