TERMS OF REFERENCE FOR PROVISION OF CARTERING SERVICE TO THE CHANCELLOR COLLEGE
The Provider shall state the preferred location of catering service from the following:
-
Chancellor cafeteria A&B
-
Sport Complex
-
PG Hostel Tuck shop
-
Great Hall Tuck Shop
Below are the Terms of Reference (TORs) for the provision of catering services and tuck shop to Chancellor College in the 2018/19 academic year:
A. TERMS OF REFERENCE – Chancellor College cafeteria A &B
-
The Service shall be provided at Chancellor College cafeteria A&B.
-
The provider shall be expected to serve breakfast, lunch, supper and any other intermediate meals.
-
The supplier shall be required to pay monthly rentals for use of premises i.e. the stall allocated.
-
The supplier shall provide necessary equipment for the successful delivery of services.
-
The supplier shall be responsible for providing alternative source of energy in cases of electrical power blackouts.(Gas Cooker)
-
Service providers must provide food beginning form 6 am till 10pm.
-
The service shall comprise the following:
-
To prepare and cook meals in the allocated kitchen space, serve quality, hot, nutritious and a variety of food to students.
-
The students shall pay directly to the supplier for the meals.
-
To maintain hygienic standards by in the cafeteria for business premises and personnel.
-
To accept planned as well as adhoc quality audits and inspection by the Chancellor College Management.
-
To arrange for periodic medical check-ups for food handlers as required by by-laws of City Assembly.
-
To provide identity cards to Cafeteria staff that should be worn while on duty at all times.
-
To meet all rental costs in time.
-
To maintain highest standard of hygiene in the storage, production, and serving of foods in line with City Assembly Regulations and Malawi Bureau of Standards.

Copies of original documents defining legal status of the services provider business registration certificate, company profile, Ministry of Trade and Tourism certificate, Public Procurement and Disposal of Assets certificate, Malawi Revenue Authority Tax clearance certificate 2018-19 Financial Year,

Service provider must provide tentative menu as sample for the students and members of staff
-
Duration of contract is one academic year made up of two semesters but excluding end of semester 1 break. The catering contracts shall commence on …………... If either the Chancellor College or the service provider would terminate the contract before such a time for other reasons, three months written notice shall be given to either party.

The service provider shall not pay rentals during the period when students shall not be on campus.
-
The premises shall only be used for catering to students and staff of The Chancellor College.
-
The service provider shall be required to report on performance on quarterly basis or of any incident to the Registrar in writing.
B. TERMS OF REFERENCE FOR CHANCELLOR COLLEGE GREAT HALL TUCKSHOP ROOM

The Service shall be provided at the Chancellor College Great Hall tuck shop Room.

The provider shall be expected to serve groceries and any other intermediate snacks
-
The supplier shall be required to pay monthly rentals for use of premises i.e. the stall allocated.

The supplier shall provide necessary equipment for the successful delivery of services

The supplier shall not be responsible for providing alternative source of energy in cases of electrical power blackouts
-
Service providers must provide groceries and other items beginning form 6 am till 10pm.

The members of staff shall pay directly to the services provider for the meals and bar services.

The Service shall be provided at the Chancellor College sports complex bar.

The provider shall be expected to serve soft drinks and beverages and any other intermediate snacks

The services provider shall be required to pay monthly rentals for use of bar space.
-
The services provider shall provide necessary equipment for the successful delivery of services to customers
-
The services provider shall not be responsible for providing alternative source of energy in cases of electrical power blackouts
-
Service providers must provide beverages and soft drinks and other items beginning form 6 am till 10pm.
-
The services provider shall comprise the following:
-
To serve members of staff and students in the allocated space, and serve quality goods, and a variety of food to members of staff and students.
-
The members of staff shall pay directly to the services provider for the beer and soft drinks and snacks.
-
To maintain hygienic standards in the bar for business premises and personnel.
-
To accept planned as well as adhoc quality audits and inspection by the Chancellor College Management.
-
To arrange for periodic medical check-ups for food handlers as required by by-laws of City Assembly.
-
To provide identity cards to bar assistants that should be worn while on duty at all times.
-
To meet all rental costs in time.
-
To maintain highest standard of hygiene in the storage, production, and serving of beer and soft drinks in line with City Assembly Regulations and Malawi Bureau of Standards.

Duration of contract is one academic year made up of two semesters but excluding end of semester 1 break. The catering contracts shall commence on 28th March, 2019 if either the Chancellor College or the service provider would terminate the contract before such a time for other reasons, three months written notice shall be given to either party.

The service provider shall pay rentals during the period when members of staff are on annual holiday.

The premises shall only be used for bar services to members of staff and students of Chancellor College
-
The service provider shall be required to report on performance on quarterly basis or of any incident to the Registrar in writing.
